What happens after you request a walkthrough

We get some version of this question a lot: "Okay, I filled out the form. What happens now?" Here's the step-by-step answer.

1. We walk the building first

We don't send a proposal before we've seen your facility. A form submission or a phone call gets a walkthrough scheduled, not a quote. Square footage on a spec sheet doesn't tell us what your floors are actually made of, how your traffic moves, or what your current vendor is missing. Someone from Nexara comes out, walks the space with you, and looks at what's actually going on.

2. You get a written scope, not a verbal promise

After the walkthrough, we put together a written scope of work. That document says exactly what gets cleaned, how often it gets cleaned, and to what standard. If it's not in the scope, it's not a surprise later, and if it is in the scope, it's not optional. This is the document we staff against and the document we get inspected against.

3. We staff to the scope you approved

Once the scope is signed off, we staff the account to match it: not a headcount we had available, but the headcount and skill set the scope actually calls for. A GMP floor restoration and a nightly office cleaning program don't get the same crew.

4. Inspection, documentation, and a real escalation path

Work gets inspected against the scope on a schedule, and it gets documented, not just "looks fine." If something's off, there's an escalation path, and it ends with the owner. Not a call center. Not a regional account manager you've never met.

Scheduling around your operation, not ours

None of this assumes a 9-to-5 building. We schedule around your actual operating hours, including nights and weekends, because most of the facilities we work in can't stop running for a cleaning crew. A production floor that runs three shifts needs its cleaning windows built around changeovers, not around when it's convenient for a vendor to show up. That gets worked out during the walkthrough, not guessed at afterward.

Why we do it in this order

It would be faster to skip the walkthrough and just send a number based on square footage. We don't, because that number is usually wrong in one direction or the other: too high because we padded for the unknown, or too low because we missed something that shows up as a change order three months in. Seeing the building first means the scope we write is the scope we can actually deliver, and the price attached to it doesn't move once the work starts.
